1.1 TO MAKE YOUR BOOKING, YOU MUST SUBMIT THE  BOOKING FORM AND PAY THE PRESENTED NOT REFUNDABLE ACCOUNT FEE.

1.2 FULL FEES AS QUOTED ON THE BOOKING FORM MUST BE PAID WITH ADEQUATE ADVANCE BEFORE THE ACCOMMODATION START DATE. WE CANNOT GUARANTEE TO HOLD A PLACE IN THE ACCOMMODATION UNLESS ALL FEES ARE PAID IN FULL AND ON TIME. STUDENTS WITH UNPAID FEES WILL NOT BE ADMITTED TO THE PROGRAM AND MAY NOT BE ABLE TO MOVE INTO THEIR ACCOMMODATION. 

1.3 PAYMENT CAN BE MADE BY OUR ONLINE PAYMENT PROVIDER STRIPE WITH THE PROVIDED INSTALLMENTS. ALL PAYMENTS COULD BE SUBJECT TO FEES LEVIED BY THE CARD COMPANY. THESE FEES ARE NON-REFUNDABLE. 

Once the Program has been booked by the Member, the following cancellation notice periods and related fees apply:

• In the event that the Member cancels at least 4 weeks before the start of the hospitality period, coinciding with the arrival date, the Member will not incur any charges, with the exception of the non-refundable deposit paid at the time of booking.
  However, in the event of cancellation more than 4 weeks before arrival, TheICircle reserves the right to charge the Member an amount of up to 20% of the price of the booked Program.
  

• From the start date of the Program coinciding with the hospitality period, the Member has the right to request cancellation from the Program and from the stay at the Host Partner for serious reasons, by sending a written request to TheICircle with at least 3 (three) months' notice , unless otherwise agreed with TheICircle.

  In the event of cancellation or reduction of the hospitality period requested by the Member within the aforementioned terms, TheICircle will refund the Member the proportional portion of the payment relating to the period between early termination and the pre-established term of the Program

Arrival

Check-in is scheduled between 9.00 am and 9.00 pm at a time previously agreed with TheICircle as well as in exceptional cases a check-in at different times.

Departure

The room will be vacated by midday, unless otherwise agreed with the Host.

NOTE:

IT IS THE RESPONSIBILITY OF THE STUDENT TO CHECK THE VISA REQUIREMENTS FOR ENTRY INTO ANY COUNTRY, AND IF NECESSARY APPLY FOR AND ENSURE THE PARTICIPANT IS GRANTED THE APPROPRIATE VISA FOR THEIR PERIOD OF STUDY WITH THEICIRCLE. INFORMATION ON VISAS CAN TYPICALLY BE FOUND THROUGH THE RESPECTIVE COUNTRY'S IMMIGRATION WEBSITE.

3.1 WE SUGGEST NOT TO BOOK FLIGHTS OR MAKE TRAVEL ARRANGEMENTS UNTIL YOU HAVE RECEIVED THE BOOKING CONFIRMATION FROM THEICIRCLE.

3.2 THE STAY AT THEICIRCLE HOSTING PROGRAM HAVE ENTRY REQUIREMENTS, SUCH AS MINIMUM AGE OF 18, TRUE INFORMATION ON YOUR PERSONAL DETAILS AND CONTACTS, AND ADEQUATE CONDITIONS EXPRESSED IN THE REQUEST FORM.

IF ANY INFORMATION PROVIDED AT THE TIME OF THE REQUEST OR BOOKING IS LATER FOUND TO BE INCORRECT, WE RESERVE THE RIGHT TO MAKE ANY CHANGES CONSIDERED NECESSARY TO THEICIRCLE-ARRANGED ACCOMMODATION AT THE PARTICIPANT’S OWN EXPENSE AND, IF APPROPRIATE, ASK THEM TO LEAVE THEIR ACCOMMODATION WITHOUT A REFUND OF FEES.

3.3 ACCOMMODATION

ALL STAYS AND STAY COMPONENTS ARE RUN SUBJECT TO DEMAND.

WE RESERVE THE RIGHT TO CHANGE STAY ARRANGEMENTS AND PRICES WITHOUT ADVANCE NOTICE.

OUR SPIRIT ENCOURAGES RESPECT FOR PEOPLE IN THEIR DIVERSITY AND THE BEST SHARING OF A MULTICULTURAL EXPERIENCE.

THIS IS WHY WE GIVE MUCH IMPORTANCE TO THE RULES OF COEXISTENCE THAT WE ASK OF BOTH OUR HOSTS AND OUR PARTICIPANT MEMBERS

THEICIRCLE RULES APPLY TO BEHAVIOUR IN THEICIRCLE ACCOMMODATION.

• Private bedroom
  The student is responsible for keeping the room tidy and clean. The Host will provide sheets, blankets and towels with adequate periodical change.

• Bathroom-kitchen – shared areas
  Bathroom and kitchen must be left clean and tidy after being used.

• Washing machine
  The Host makes the washing machine available to the participant with appropriate frequency.

• Keys
  Following a preliminary agreement, theHost may decide to provide the house keys to the participant, who will have to keep them carefully and never keep them together with the home address. In case of loss, the student will have to pay for the replacement of the lock and keys.

• Electricity
  Due to high energy costs and to cause minimal environmental impact, the participant is required to always turn off the lights/fans/air conditioners in the room when leaving the accommodation.

• Heating
  The times for turning on the domestic heating follow those established by the regulations in force in the Host's locality.

• Damages
  If something breaks or damages the participant is required to inform the Host who can ask for repair costs.

• Smoke
  It is not possible to smoke inside the Host's accommodation. At its discretion, the Host may indicate any areas where this is permitted, should the participant request it.

• Alcohol or other abuse
  The use of drugs or alcohol abuse is prohibited, as is any behavior considered seriously inappropriate at the accommodation and/or towards the Host and TheICircle Team.

• Friends and visitors
  Unless the explicit and prior permission of the Host is granted, the participant is not allowed to bring guests home.

• Lost items
  Neither TheICircle nor the Host will be responsible for items lost by participants.

Following infringement by the participant of one or more rules of the terms of use and TheICircle regulations, including behavior that is contrary to the law or considered, in the sole discretion of TheICricle, to be seriously inadequate or inappropriate, for the decent, safe, correct and peaceful conduct of the period of hospitality provided at the Host, TheICircle reserves the right to terminate the participant's period of hospitality and ask him to leave the Host's accommodation.

In the aforementioned cases of infringement, TheICircle will not be required to reimburse the participant or find alternative accommodation.

WE WILL DO OUR BEST TO MEET ALL SPECIAL REQUESTS, PARTICULARLY RELATING TO HEALTH AND DIET, BUT WE CANNOT GUARANTEE THAT THIS WILL ALWAYS BE POSSIBLE.

6.1 DISCLAIMER

THEICIRCLE WILL ONLY BE RESPONSIBLE FOR LOSS OR DAMAGE SUFFERED BY A PARTICIPANT WHICH OCCURS AS A FORESEEABLE RESULT OF THEICIRCLE’S BREACH OF THE TERMS AND CONDITIONS OR ITS SERIOUS NEGLIGENCE.

6.2 HOST LIABILITY

THEICIRCLE DECLARES TO PERSONALLY SELECT ITS HOSTS WITH CARE AND ATTENTION, ACCORDING TO ACCURATE PROCEDURES AND IN-PERSON CHECKS THROUGH ITS DEDICATED TEAM.

HOWEVER, IN THE EVENT OF ANY DAMAGES INCURRED TO THE PARTICIPANT DURING THE ACCOMMODATION PERIOD RESULTING FROM THE CONDUCT OF THE ASSIGNED HOST OR OTHER PERSONS CONNECTED TO THE RELATIVE CONTEXT, WHICH ARE NOT RESULTING FROM WILLFULNESS OR GROSS NEGLIGENCE ON THE PART OF THEICIRCLE, THEY CANNOT BE ACCUSED BY THEICIRCLE

6.3 FORCE MAJEURE

THEICIRCLE IS NOT LIABLE FOR ANY FAILURE OR DELAY IN PROVIDING OUR SERVICES THAT OCCURS AS A RESULT OF ANY EVENT OUTSIDE OUR REASONABLE CONTROL, SUCH AS BUT NOT LIMITED TO WAR, DISEASE OUTBREAK, NATURAL DISASTER OR TERRORIST ATTACK. IN SUCH CASES, WE WILL IMMEDIATELY NOTIFY YOU IN WRITING AND SHALL BE EXCUSED FROM PERFORMING OUR OBLIGATIONS FOR THE DURATION OF THE FORCE MAJEURE EVENT.

6.4 LEGAL APPLICATION

THESE TERMS AND CONDITIONS ARE GOVERNED BY ITALIAN LAW. THE ITALIAN COURTS OF THE FORUM OF ROME WILL HAVE EXCLUSIVE JURISDICTION TO RESOLUTE ANY DISPUTES ARISING FROM THE TERMS AND CONDITIONS. THE INFORMATION IS CORRECT AT THE TIME OF PUBLICATION, BUT MAY BE SUBJECT TO CHANGE..
