TheICircle — Summary of Key Obligations & Expectations

This page provides an overview of the key terms applicable to Students (Members) registered with TheICircle. It does not replace the Student/Member Agreement, which governs the full legal relationship between TheICircle and each Student. By registering as a Student, you confirm that you have read and agreed to the Student/Member Agreement.

1. Who Is a Student

A Student (also referred to as a Member) is an individual enrolled in or seeking to enrol in an academic institution, language programme, or similar educational course, who applies to TheICircle for curated homestay accommodation. Students are accepted subject to our internal vetting and matching process.

2. Application & Matching

Submission of an application does not guarantee placement or accommodation. TheICircle will endeavour to match each Student with a suitable Host, but we do not guarantee the availability of a placement, the timing of any placement, or the characteristics of the Host or accommodation. Once a match has been confirmed in writing by TheICircle, the Booking Terms shall apply.

3. Fees & Payments

Students may be required to pay a non-refundable registration or membership fee upon application, together with a placement fee upon confirmation of a match. Ongoing accommodation fees, where applicable, are payable in accordance with the payment schedule set out in the Student/Member Agreement. Students acknowledge that:

  • registration and placement fees are non-refundable except as expressly provided in the Refund & Cancellation Policy;

  • failure to make timely payments may result in suspension or termination of the placement;

  • TheICircle may update the fee structure on reasonable notice.

4. Student Responsibilities

As a registered Student, you are expected to:

  • treat your Host, their household, and their property with respect at all times;

  • comply with the house rules communicated by your Host and confirmed in the Booking Terms;

  • report any concerns, complaints, or incidents to TheICircle without undue delay;

  • vacate the Host's property by the agreed departure date and leave it in the same condition in which it was found.

Students are solely responsible for their personal conduct and for any damage caused to the Host's property during their stay. TheICircle does not accept liability for disputes arising from the Host–Student relationship.

5. Cancellation by Students

Cancellation of a confirmed placement by a Student may result in financial consequences as set out in the Student/Member Agreement and the Refund & Cancellation Policy. Students are encouraged to review those documents carefully before confirming any booking.

6. Support & Communication

TheICircle provides ongoing support throughout the duration of a placement. Students are encouraged to contact us if they experience any difficulties with their accommodation or Host. We aim to respond to all enquiries within a reasonable timeframe. Contact details are available in the footer of this website.

7. Data & Privacy

Student personal data is processed in accordance with the TheICircle Privacy Policy. Students consent to receiving communications from TheICircle relating to their placement, payments, and platform updates. Students may withdraw consent at any time, subject to the terms of the Privacy Policy.
